Leave Management System is a computer software/ application or app than tracks the usage of an employees allocated (entitled) leave days. It is a module in a human resource management system (hrmis / hris). Taking leave is crucial for employees to have work-life balance, to remain healthy and perform their duties optimally. The Kenyan labour laws give guidelines regarding the various types of leave an employee is entitled to e.g. annual leave, peternity leave and maternity leave.
Our online leave management software manages the entire leave process: leave request, approval, history, analysis and reporting.
Being a web-based / cloud system, employees can submit their leave requests either from the office or from the field via the
Employee Self Service portal. They can even access the leave module from their mobile devices.

The system allows you to define various types of leave each with its own set of settings. The software has in-built flexibility to allow you manage such settings as:
For each type of leave, you can define the number of days an employee is entitled to. The system automatically calculates balances to be carried forward. If you would want to set a date by which days carried forward must be spent, a carryover expiry date setting is provided.
Request for leave is submitted via the Employee Self-Service portal. The request is then forwarded to one or more predefined leave approvers and email notifications sent to them. Once the final approver approves, an email notification is sent to the applicant informing them they can proceed on leave.
Records of previous leave requests can be viewed and managed from a centralized location with relevant filters provided to narrow down to records on interest.
Each employee can view their own records while those with higher privileges can either view for the their direct reports or for all staff.
The software provides summary view of leve usage showing days entitled, days used and leave balance. Days earned are also captured together with the net balance.
The system also provides a graphical view of various leave requests with their corresponding status for a selected month. e.g you can view the status of all the requests made by employees from a particular department shown using different colour codes.
Leave entitlements and carryovers can be imported from Excel using a template which can be downladed from the system. Using the software's Batch-Process feature, the entitlements can also be allocated at one go for all selected employees.
Data being viewed from various modules of the Leave Mangement System can be exported to Excel. The system have a reporting module where reports can be viewed and then exported to either PDF, Word or Excel.
